What to Expect with Dates & Scheduling During Your Move
- All dates should be scheduled through me. Giving your dates to anyone other than me can result in your move not being scheduled.
- At any point, if you have a change in dates or need to cancel your move, please contact me immediately.
- If your move dates are mid-September through April, two weeks’ notice will be needed to schedule your move. If your move dates are between May and mid-September, four weeks’ notice will be needed. We will make every effort to accommodate last-minute moves as we can, but typically we do require advance notice.
- A local representative will be reaching out to schedule a survey of your home. This survey will determine how long we will need to pack and load your household goods. So that we can reserve your preferred move dates, this survey will need to be scheduled as soon as possible.
- After the survey is completed, I will be in touch to discuss the requirements of your move and to schedule your move dates, which include a delivery spread. A delivery spread, based on the mileage and weight of your shipment, is given on all shipments and is narrowed after the loading is completed at your current residence. Prior to moving day, I will provide you with a written delivery spread.
- Prior to your packing dates, I will confirm all the pertinent information regarding your relocation. Our average arrival time is between 8:00 AM – 10:00 AM unless special arrangements have been made.
- Please plan to be available throughout the move, including during packing, loading, and each day during the delivery spread. Please avoid scheduling travel dates on the same day as your move. If you can’t be present, you must designate a person to be present and supervise the service and sign the documents accordingly. If you are unable to receive your goods during your delivery spread, they may be placed in storage at your expense unless prior arrangements have been made and your company has authorized storage.
- Household goods cannot be delivered on the day of closing.
- If your company has authorized unpacking and you would like to take advantage of these services, the movers will take your items out of the cartons and place them on a flat surface and remove all of the packing materials and cartons used to move your goods. Unpacking service does not include placing items back into closets, cupboards, or shelves. Unpacking is not necessarily done on the day of delivery and may need to be scheduled for the following day depending on the size of your shipment. If you are interested in unpacking services please let me know so I can arrange for this service in advance.
Storage
If storage is necessary and part of your relocation package, we will make the arrangements for you. If you are unsure if you are authorized for storage or unsure of the amount of storage time, please contact me. Once your goods are in storage, you will not be able to access them. It is important that you take everything you will need with you during the duration of storage or arrange for these items to be delivered to your temporary residence if authorized by your company. If you exceed the authorized period of storage time, you may be responsible for the additional monthly payments. It is recommended that you provide us with at least two weeks advanced notice when you would like delivery out of storage (four weeks’ advanced notice from May through September). This will increase the likelihood of receiving your household goods on the date you request.
If you are not authorized for storage or elect to deliver into a self-storage facility of any kind, the insurance coverage terminates at the time the van operator delivers your goods into the facility. You must notate any damaged or missing items at that time on the inventory paperwork prior to the van operator departing the facility. Any claims filed for items not listed on the delivery paperwork will be denied.Packing, Inventory & Claims Information
- Our crew will pack all of your goods for you if authorized by your company’s relocation policy. Please do not pre-pack anything, as these items will not be covered in the event of damage. Please keep reading for a full list of items that we cannot pack or move, and consult your company’s relocation policy to determine if there are any other items that your company excludes from transportation.
- Prior to loading your household goods, the crew will inventory all of your items and make condition notations. It is very important that you review the inventory list and notate any exceptions prior to signing the inventory paperwork. Failure to indicate any exceptions will affect any potential liability claims. Once everything is loaded, it is your responsibility to perform a final walk-through inspection throughout the house for any missed items. Pay close attention to attics, basements, closets, garages, kitchen cabinets, and sheds. If any items are left behind at the residence, they are your responsibility.
- While you are performing your inspection for items left behind, you should also inspect for any property damage that may have occurred during the move. You must notate any property damage on the movers’ paperwork with both your signature and that of the van operator. These damages must be reported within 24 hours to me. This will ensure a smooth and quick claims process. Failure to do so will affect your ability to file a successful property damage claim.
- The crew will deliver items into your new home and place them in the room identified on each box. It is important to have an idea of where you would like your items placed ahead of time additional charges may occur if you request the items be moved around in the new home. These charges may be your responsibility if not authorized by your company’s relocation policy. We recommend having two adults present for delivery, as checking off the items and directing the crew can be too much for one individual.
Preparing For Your Survey
- Do a walk-through of your home on your own prior to the scheduled date
- Schedule adequate time for the survey to be completed
- Be sure to show the surveyor all closets, cabinets, drawers, etc.
- Note any items that will not be shipped
- Voice concerns for special items
- Be sure to point out any hidden areas
- Check with your apartment manager or HOA on any special rules or restrictions they may have for movers and advise the surveyor of this
Household goods that will not be packed & loaded onto the truck
- Aerosol Products
- Alcohol, liquor, beer, and wine.
Any open bottles/containers will not be taken. Large collections can be moved by a third party. Check with your Move Coordinator. - Ammunition
- Building Materials/Wood (including firewood)
- Cleaning Products
- Combustible, Corrosive, & Explosive/flammable Products.
Examples are not limited to oil, gas, kerosene and their empty containers, paint, cologne/perfume, fireworks, etc. - Jewelry
Examples are not limited to jewelry, gem/semi-precious stones, watches, etc. - Liquids of any kind.

- Live Plants
- Money of any type including but not limited to: cash, checkbooks, coin collections
- Perishable & Frozen Foods
- Prescription Medications
- Pets
- Pressurized Tanks of any kind including empty tanks
- Sensitive Documents and Computer/Digital Programs.

- Collections of any value*
Examples are not limited to sports cards, comic books, stamp, handbags/designer purses, tennis shoes, etc. Note that boxes and packaging are not covered against damage. - Family photos and other sentimental items
- Firearms (check with your coordinator if allowable per your employer)
- Laptop and Desktop Computers
* High-Value Items: valued at $3000+ or any other item(s) needing special care or attention must be listed on the HV form and include the value of each item.

- Reserve elevator for load day
- Takedown permanent fixtures, i.e. window treatments, shelf systems, etc.
- Disassemble any particle board / presswood furniture
- Disconnect all stereo equipment, DVD, cd, tape player, turn tables, computers, and televisions
- Remove all media from electronic components
- Remove ink cartridges from printers, fax machines, copy machines
- Remove all items from the attic (pull-down access)
- Remove mounted flat screen tv’s from the wall & brackets
- Disassemble exercise equipment, elliptical machines, non-folding treadmills, home gyms…etc Empty all gas/oil from lawn equipment (lawn mower, leaf blower, weed-eater, snow blower…etc)
